Managing your subscriptions

Get a complete view of your subscriptions and edit them directly in the app.

When you're running a subscription business, managing your customers and their plans is an integral part of making sure that your customers are happy and you're subscriptions are running smoothly. Luckily, we've made this easier for you with a whole set of features that will allow you to quickly make any necessary changes to your subscriptions.

To view all your subscriptions, click Subscriptions from the left hand menu.

Here you can search for a particular customer's subscription by their name, email or ID in the search bar. You can also filter your subscriptions by product, plan and status as well as sort them by when they were created.

To only show subscriptions to particular product or plan, select the 'Product' header and select a product.

If you'd then like to also filter by plan, you'll be able to select the 'Plan' header to select the plan you'd like to filter by.

To only show subscriptions with a particular status, such as 'Active', click the 'Status' table header and select the status that you'd like to filter by.

You can filter by both product and plan as well as status if you'd like.

To sort your subscriptions by oldest to newest or vice versa, simply click the 'Created on' table header.

Once you select a subscription, you'll be taken to the individual subscription page for that customer, where you'll be able to view their subscription details and make changes to the subscription.

The product and plan will be displayed in the top left of the screen so you know which subscription plan the customer is on - and then in the top right you'll have the customer's name (and a link to take you to the customer's profile). On the initial screen, you'll also be shown the status of the subscription, how much money that subscription has made via scheduled/automatic payments, and when the subscription was added!

Underneath that initial banner, you'll also see the price of the plan the customer on (this so you can easily cross-reference that they're on the right plan without going back-and-forth to the plan editor. You'll also the Next bill date, and the subscription ID which is generated on creation.

You'll see there are a few tabs that you can switch between to get more information. Add-ons, Allowances, and Discounts will allow you to view and remove the respective features applied. Feature tags will be a grouping tool where you can add specific feature tags to subscriptions, so if you have external tools tracking feature tags you can apply/remove them here. Custom fields allows you to see the answers to any of the questions that were asked additionally during checkout. Finally, you'll initially be placed on the Event Log, which is an accurate log of all of the actions that have been taken by you, your team-mates, or your customer. You'll know if discounts are added, dates were changed, the account was paused etc.

On the right hand side of this screen, you'll see the options that are available to you to manage your subscription!

Subscription management

Edit subscription

In this section, you're able to change the subscription of the customer. You'll only be able to change the subscription to another plan that is on the same product as the one the customer is already on.

When you've chosen the plan, select the cycle that the customer wants to be billed by. You'll then be asked if you want this to take into affect immediately, or if you want it to take into affect on their next billing date. If you choose the latter, the subscription profile will not update with the new information until the billing date has passed.

Important:

Whatever plan your customer is changed to, they will be charged on this plan as if they were a new customer - this means that if you have a set-up fee on the plan you're moving them to, you'll be charging your customer the set-up fee on change as well as the cycle price.

Add Add-on

If you have an add-on that can be applied to the plan the customer is on, you can apply it here, just by selecting the add-on you'll like to apply and confirm the charge. You can remove the add-on by clicking on the Add-on tab on the subscription profile.

Add Allowance

If you have an allowance that can be applied to the plan the customer is on, you can apply it here, just by selecting the allowance you'll like to apply and confirm the charge. You can remove the allowance by clicking on the Allowance tab on the subscription page.

Add a Discount

If you have any coupons that you'd like to apply to your customer, you can do so here. You'll first be asked to choose the discount name that you've created (you don't need to enter the coupon code here, you'll just need to know the name). Once selected, you'll be given the discount value and asked if you want this to be applied as Lifetime (across every subscription price going forward) or a fixed term (you choose how many charges this will affect, for example 3 month period over winter as a Christmas discount). This is used to bypass adding specific coupons, and gives you more control on the price discounted!

Change Bill Date

This feature has two functions: Changing the billing date of a customer, and also pausing the customer's subscription for a set time. You'll be brought to a calendar, and then asked to select a date. If you're just wanting to select a new date for the month's billing, you'll select the date, and then under status until new bill you'll want to select Active. This will change the bill date of the customer to the new date. Similarly, if you want to pause your customer's subscription for a month, you'll select the date a month in advance and change the status until new bill to Paused.

Update Status

If your customer is Active, you're able to change the status of the subscription from Active to Suspended, which you can use as an indefinite pause to your customer. This can also be done vice versa, if your customer's subscription is marked as suspended due to dunning settings, you'll be able to just set the subscription back to Active when you want! You won't be able to make any changes if the customer has an unpaid or pending invoice on the account though, so you'll want to make sure that this is covered first by either getting the payment, or writing off the invoice.

Cancel Subscription

If your customer, or you, would like the subscription cancelled, here's where you'll get to do it. You'll be brought to a page with all the details of the customer and the plan, and asked if you'd like to issue a pro-rated refund for the services. Once you've chosen the pro-rating settings, you'll be asked to enter the Customer ID to confirm the cancellation - you can find this ID in the table of details at the top of the page. Similar to changing the status, you will not be able to cancel the subscription if there is an unpaid or pending invoice on the account, so you'll want to write off this invoice first. Once cancelled, you'll retain the customer profile, but you will no longer see the subscription profile as it has been deleted.
