How making changes to your allowances and it this affects your existing customers

You can edit the configuration of your add-ons and allowances by going to Products > Allowances from the left hand menu of your Billsby account.

As you edit the configuration of your allowances, you'll want to consider how these changes may affect your existing customers, who already have the allowance linked to their plan.


Changing the price per unit of an allowance

If you change the price per unit of an allowance, any existing customers with this allowance will be charged the new price from their next cycle.


Changing the included units of a capped allowance

When an allowance has a capped pricing model and the user edits the number of included units offered with the allowance any customers with this allowance should be effected immediately. If more included units are added, customers with the allowance should be able to use these extra units in their current cycle. If some included units are taken away, customers with the allowance must be capped at the new included unit amount. If a customer has used over the capped limit, they will not be charged for the additional units, but they must also not be able to use anymore units of the allowance.


Removing a linked plan from an allowance

If the you removes a linked plan from an allowance, and a customer with that plan has the allowance as part of their subscription it will not be removed from their subscription. If the allowance is removed from the customer’s subscription by the customer, or a user at subscription level, they will not be able to add it again as the customer’s plan will no longer be linked to the allowance.


Changing a linked allowance from optional with a plan to forced

If you change an allowance from optional to forced for one or more of the already linked plans, any customers already subscribed to those plans without the allowance will not have the allowance automatically added to their subscription. If they later choose to add it, it will then be forced and will not be able to be removed.

In the same instance, if a customer has added the allowance to their subscription when it was optional it will not become forced if the user changes the allowance to forced. The customer will still be able to remove the allowance from their subscription, but once removed if they add it back it will then be forced.


Deleting an allowance

If an allowance has been completely deleted in your Billsby control panel, it will be removed from all of the subscriptions it has been added to. When this happens, the customer will not receive a pro-rated refund for any included units of allowance they were entitled to. If the customer used units a of the allowance over any included units, they should be charged for these units still at the end of their current cycle. Billsby will not notify the customer of the allowance removal and this will be up to the company.


What happens to a customer's allowances when they change their plan

If the customer is changing their plan immediately (by selecting the today option) they’ll need to pay for any allowance overage in order to change their plan. If they choose to change their plan at the end of their current cycle, they’ll be able to continue using their allowances until the end of the cycle and they’ll be charged for their allowance coverage as normal at the end of the cycle.

No matter when the customer chooses to change their plan, any allowance they have on their current plan will not be automatically added to their new plan, they’ll have to do this in the plan change flow.
